How to Freeze Columns and Rows.
Whenever you have either several columns or rows of data it can be difficult to remember where you are when you have to scroll through the data, and you no longer have the header row or the first column visible for reference.
Fortunately, Excel allows you to freeze a portion of the spreadsheet to keep it visible when you have to scroll across or down the spreadsheet. You may freeze only the top or Title Row or the first column. In addition, they can be used in combination. You may also freeze several frames at once allowing you to have the first 2 or 5 rows always visible while keeping the first to third column visible as well.
I will be using a Wine spreadsheet to give you a visual aid of exactly how to freeze and where to click on the spreadsheet to freeze panes.
Freezing the Top Header
If you need to see the header no matter how far down you scroll the easiest option is to enter “freeze” in the search bar at the top of Office and select “Freeze Top Row”. To only freeze the first column choose “Freeze First Column”. This will allow you to scroll right and allow all the columns to move except the first. Another way is to use the fly-out menu that will appear if you click on the right arrow in “Freeze Panes” The fly-out menu will appear giving you the options you will need. To freeze both the top row and first column select cell B-2 then click on the “Freeze Panes” option. will open a fly-out menu.
Wine Spreadsheet Example
It would be difficult to enter additional column data for a type of wine if its name disappeared when you scrolled to the right. The same problem would exist if you wanted to enter additional wine types and could not see the header row.
Unfreeze All Frozen Panes
If you make a mistake don’t worry clicking on option 1 in the fly-out menu at any time will erase all frozen panes.
Freezing Both Columns And Rows
If you choose to freeze both the header and the first column you would select the B-2 cell and pick the first option in the fly-out menu. However, if you want to freeze the first two or more columns just select the top right cell after the last column you want to freeze. This holds for rows. To freeze the first two rows and first two columns you would select the C-3 cell. Now whenever you scroll across or down, they are always visible. You can now enter data always knowing the contents of the first row and column.
If you wanted to see the top and bottom rows when you are doing something like number totals? Freezing the top and bottom would be impossible using the method described in a follow-up article I will show you how to do just that.
Summary
If you work with spreadsheets and are a casual user you can see how important it is to always have the important information displayed to aid you while you continue to work on your spreadsheet. Check out my follow-up article to learn how to freeze the top and bottom rows.
